A certificate is not enough by itself
Useful documentation shows how the workshop identified the requirement, prepared the vehicle, followed the procedure and verified the result. A generic page stating “calibration passed” may omit the evidence needed later.
Identify the job
Record the customer or repair order, VIN, registration, odometer, build details and fitted system. State the repair or event that triggered the calibration check and identify the sensor or function involved.
Record the authority and scope
Note the current manufacturer procedure, bulletin or other service-information source used, including revision or access date where practical. State exactly what was and was not included in the job.
Preserve the process evidence
Depending on the procedure, retain:
- pre-scan and post-scan reports
- sensor, bracket and surrounding-area inspection results
- wheel alignment, tyre, ride-height and load checks
- target, reflector and measurement setup
- equipment identification and software version
- environmental or dynamic-road conditions
- calibration output, learned values or completion message
- specified final checks and road-test result
- photographs where they genuinely demonstrate setup or condition
Do not create measurements after the event or use a previous vehicle’s images as placeholders.
Document exceptions honestly
A failed calibration, unresolved DTC, unsuitable road condition or inaccessible module is still a result. Record what prevented completion, what work is required and whether the vehicle has any operating restriction.
For subcontracted work, keep the supplier report and link it to the main repair order. Clarify who completed preparation, calibration and final verification.
Give each audience what it needs
The technician needs the detailed job record. The customer, repairer or insurer needs a clear outcome, outstanding items and traceable supporting evidence. Protect personal information and retain records according to legal, contractual and business requirements.
